Administrative Coordinator

Administrative Assistant duties and responsibilities include providing administrative support to the repair engineers to ensure efficient operation of the office. Support managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Typically reports to a manager or head of a unit/department. 

 

Responsibilities and Duties: 

  • Answer and direct phone calls 
  • Manage an email queue system and respond in a timely manner. 
  • Create repair authorization numbers, process Purchase Orders, assisting sales force in daily tasks, and processing requests to our parent company. 
  • Clean up technical inspection reports that may not be written using proper English due to things being mistranslated from Japanese to English 
  • Use graphical user interface to generate repair quotes for customers. 
  • Ability to track stock transfers and order shipments.  
  • Follow up with customers/sales on shipments and P.O’s. 
  • Assist in the preparation of regularly scheduled reports. 
  • Handle sensitive information in a confidential manner. 
  • Take accurate meeting notes and action items as needed. 
  • Develop and update administrative systems to make them more efficient. 
  • Resolve administrative problems and escalate as needed. 

 

Requirements: 

  • Previous admin or assistant experience 
  • Knowledge of office management systems and procedures 
  • Excellent time management skills, ability to multi-task and prioritize work 
  • Attention to detail and problem solving skills 
  • Excellent written and verbal communication skills 
  • Strong organizational and planning skills 
  • Proficient in MS Office; Pivot tables and charts preferred 
  • Associates degree, any major concentration
